The Onboarding & Bookkeeping Administrative Assistant role is an onsite position located in Sandy, OR. Compensation is not specified. The role exists to ensure efficient employee onboarding and offboarding processes and accurate financial record-keeping. The assistant supports the Agency Director by managing administrative tasks and maintaining organized records to facilitate the agency's mission of supporting individuals with disabilities.
What you'll do
- Coordinate employee onboarding from acceptance of employment through completion.
- Prepare onboarding paperwork, employee files, forms, and checklists.
- Complete reference checks and assist with pre-employment requirements.
- Schedule orientations, trainings, appointments, and onboarding activities.
- Assist employees with required applications, systems, email, and communication platforms.
- Track outstanding onboarding requirements and follow up until completed.
- Maintain accurate electronic and physical employee records.
- Coordinate employee offboarding from notification through completion.
- Prepare separation and offboarding documentation.
- Collect Agency equipment, keys, devices, and other company property.
- Coordinate removal of access to email, applications, websites, communication platforms, and other Agency systems.
- Maintain completed onboarding and offboarding checklists and records.
- Perform bookkeeping tasks using QuickBooks Online.
- Review, categorize, and clear transactions.
- Reconcile accounts and assist with maintaining accurate financial records.
- Identify discrepancies and assist with correcting bookkeeping entries.
- Organize receipts, invoices, purchases, and financial documentation.
- Maintain clean and organized electronic and physical financial records.
- Assist the Agency Director with bookkeeping projects and financial organization.
