Fleet Coordinator

Job overview

The Fleet Coordinator role is onsite in Thornton, IL, with compensation of $60,000–$70,000 per year. The position reports to the Equipment Manager and supports Gallagher Asphalt’s Equipment and Operations teams. The coordinator serves as the primary administrative resource for the computerized maintenance management system, turning equipment and fleet data into useful reports and improving how teams manage records and processes. The work helps employees make informed operational decisions and reduces reliance on disconnected records and manual spreadsheets.

What you'll do

• Administer the computerized maintenance management system, troubleshoot issues, establish consistent practices, and teach employees to use it
• develop reports and dashboards on utilization, maintenance, breakdowns, downtime, and costs
• investigate discrepancies and improve data accuracy
• partner with Operations, IT, and vendors on system improvements and practical automation
• maintain equipment records, work orders, maintenance schedules, and service history
• support parts inventory and barcoding systems and validate information between platforms
• coordinate vehicle registrations, plates, renewals, emissions testing, documentation, I-PASS vehicles, and transponders.
